Summary
Hospital Emergency Assistance and Response Tracking System (the registered developer and data controller), operating the EAAN HEARTS App, collects only the data needed to provide emergency, hospital, and support services.
1. Important developer disclosures required by Google Play
We will complete the Google Play Data Safety form accurately for the EAAN HEARTS App, including disclosures of the types of data collected, whether data is linked to a user, whether it is shared, and our retention and deletion practices. This information will be maintained and kept up to date in Play Console.
The EAAN HEARTS App uses foreground location only (only while the app is in use). Background location is not used. If background location becomes necessary in the future, we will follow Google Play’s additional requirements and feature declarations.
The app handles user-provided health and emergency information. Google Play treats health records and medical history as sensitive. The EAAN HEARTS App does not integrate Health Connect or similar health-record APIs unless explicitly required, reviewed, and disclosed.
EAAN HEARTS does not provide medical advice, diagnosis, or treatment recommendations. The EAAN HEARTS App supports coordination and access to emergency healthcare services but does not replace professional medical judgment or emergency services.
2. Who are we (legal entity, EAAN, and the EAAN HEARTS App)
Hospital Emergency Assistance and Response Tracking System (“we”, “our”, “us”) is the registered developer and data controller for the EAAN HEARTS App and operates the Ethiopian Ambulance Alliance Network (EAAN).
The organization is registered in Ethiopia under license number AACATB/14/673/43488931/2018, issued pursuant to the Commercial Registration and Business License Proclamation No. 980/2016.
EAAN primarily operates in Ethiopia, where it supports the coordination of emergency medical services through an organized network of ambulance providers and healthcare facilities. EAAN is developing an ambulance alliance network to improve interoperability, response coordination, and access to emergency care. All participating providers operate under applicable local laws and service agreements and receive information only as necessary to deliver emergency services.
We use Google Firebase services for push notifications and backend operations; Google (via Firebase) acts as a data processor under Firebase’s Data Processing and Security Terms.

I. Data we collect

- Location: Foreground location only, used during an emergency request. No background tracking.
- Payments: None - the EAAN HEARTS App does not collect payment information.

Used to manage your account, communicate with you, send confirmations, and coordinate emergency services through the EAAN HEARTS App. - Emergency & health information
Includes symptoms, allergies, medical history, or other details you voluntarily provide.
Used strictly to support responders and healthcare teams involved in your emergency request.
This is sensitive data and is processed only with your direct input and consent. - Profile photo
Optional and used only to identify your account. The app uses the system image picker and does not request broad media permissions. - Support communications
Messages you send through in-app support.
II. Permissions used

Used only to capture or select a profile photo. The app does not access other device images. - Location (foreground only)
Used to determine where assistance is needed and to route responders.
Core app functionality may be limited if permission is denied.
5. How we use and share your data
How we use your information
We use data for the following legitimate and essential purposes:
- i. Facilitating emergency and medical services
Using your location, contact information, and health details to dispatch ambulance teams, emergency responders, or hospital services. This may also include coordinating voluntary blood donation or community assistance by connecting willing donors or volunteers with nearby healthcare facilities, and authorised blood banks. - ii. Care coordination
Sharing necessary information with healthcare facilities or medical responders involved in your request. - iii. Account management & communication
Sending confirmations, service updates, safety notices, and required legal communications. - iv. Quality improvement and de-identified analytics
We may use aggregated or de-identified data to improve system performance, monitor service quality, or support public-health reporting.
Such use does not include human-subjects research without appropriate ethical approval from a competent ethics review body and consent where required by applicable law. - v. Legal compliance
Using data as required to comply with law, respond to lawful requests, or prevent imminent harm.
We do not use user data for targeted advertising or marketing to third parties.
How we share your information?
We do not sell or rent personal information.
Data is shared only when necessary:
- i. Emergency responders and healthcare providers
Relevant personal, location, and health information is shared with ambulance providers, dispatch centers, emergency responders, and receiving healthcare facilities to fulfill a specific emergency request.
Where services are delivered through the Ethiopian Ambulance Alliance Network (EAAN), information is shared only with participating providers involved in that request and subject to confidentiality and data-protection obligations. - ii. Service providers under contract
Such as Google/Firebase or other technology partners acting on our behalf under confidentiality obligations. - iii. Legal requirements and safety
When necessary to comply with the law or protect safety. - iv. With your explicit consent

We do not authorize third parties to use your data for advertising, profiling, or unrelated commercial purposes.
6. Data Retention and Deletion (Google Play Requirement)
We retain personal data only as long as necessary for the purposes described in this policy and to meet legal or operational requirements.

Uninstalling the EAAN HEARTS App does not delete stored data.

7. Your rights & controls
I. Access and correction
You may request access to or correction of your personal data at any time.
II. Account deletion
You may request deletion of your account and associated personal data:
- In-App: Use the “Delete Account” feature in settings.
- By Contact: Email support-eaan@heartscare.net.
Upon verified request, we will delete personal data except for records legally required to be retained (e.g., emergency assistance logs), which will be securely archived.
III. Withdraw consent
You may disable non-essential data inputs (e.g., decline location access), understanding that service functionality may be limited.
Uninstalling the app stops future collection but does not delete previously stored data.
8. Children’s privacy
The EAAN HEARTS App is not directed at children, and children cannot create accounts independently.
Emergency requests may involve minors when a parent, guardian, or healthcare professional requests assistance on their behalf. In such cases, we process a child’s information solely to provide emergency medical services, in accordance with applicable legal and safety requirements.

9. Security measures
We use industry-standard technical and administrative safeguards, including:
- Encryption in transit and at rest
- Role-based access controls
- Restricted access for authorized personnel only
- Secure storage and monitoring
If a data breach occurs, we will notify affected users and authorities as required by law.
10. Special notes for Google Play submission
Because the EAAN HEARTS App requests foreground location and handles sensitive health information, we ensure that permission prompts, user disclosures, and in-app explanations comply with Android and Google Play requirements.
If background location or Health Connect integrations are introduced later, we will follow Google’s additional approval processes and update this policy.
11. Changes to this policy
We may update this policy due to app changes or legal requirements.
The “Last updated” date will reflect revisions. Continued use of the EAAN HEARTS App after updates constitutes acceptance.
